  • Ensures monthly postdoc calendars documenting time off are distributed across research, and maintains the documentation centrally for Departments of Medicine & Ophthalmology.

This position is responsible and accountable for the management of care for an assigned patient population by unit, across the continuum of care.  The Case Manager works to achieve daily clinical, quality and cost outcomes by providing well-coordinated experiences for patients/families through the synchronization of care activities of multiple disciplines and negotiating with third party payors.

This is accomplished by negotiating, procuring and coordinating services and resources needed by patient/family; ensuring and facilitating the achievement of quality and clinical customer service; cost and clinical outcomes; intervening at key points for individual patients; addressing and resolving patterns or issues that have a negative quality-cost impact; and creating opportunities and systems to enhance outcomes.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

CARE COORDINATION COMPLETES:

  • Case Managers complete assessments on all new admissions to determine the need for all appropriate Case Management services.
  • Conducts daily multidisciplinary rounds on assigned units, reviews patient’s plan of care and coordinates:
    • Assessment of patient/family needs
    • Completion and report of diagnostic tools in a timely manner
    • Completion of treatment appropriate for the acute episode of illness
    • Modification of plan to meet continuing care needs of the patient
    • Monitors ongoing process of gathering adequate information from all relevant sources to insure operation of plan
  • Discusses estimated length of stay, treatment and discharge plan with the attending physician and healthcare team
    • Establish strong, collaborative relationships with your physicians and team members
    • Discusses with MD the appropriateness of resource utilization, consults and treatment plan
  • Ensures that the interdisciplinary care plan and discharge plan are consistent with the patient’s clinical course, covered services and continuing care needs.
  • Identifies patients and families with complex psychosocial, financial and legal discharge planning needs and refers them to social work.
  • Incorporates knowledge of clinical expertise, quality initiatives, insurance and finance into decision-making and problem solving of individual patient cases and across case type during care management activities.
  • Fosters and maintains a positive working relationship with referral agencies and liaisons to enhance patient flow.
  • Collects and reports on quality projects, i.e.:
    • CHF
    • Re-admissions within 30 days
    • Delay Day Variances
    • Risk management

  • Documents patient/family progress towards discharge and all critical events and information associated with the hospital stay in SoftMed.

UTILIZATION

  • Responds to third party payor requests for concurrent clinical information in timely manner.
  • Ensures that documentation in the medical record supports the admission and continued stay, in order to reduce denial rate.
  • Documents care management activities in the initial assessment and as the patient progresses towards discharge and at discharge.
  • Inteacts with Admitting, Financial Counselors, Insurance Case Managers, Finance and Screeners as appropriate.
  • Maintains clinical competency and current knowledge of regulatory and payor requirements to perform job responsibilities.
  • Works with documentation specialist to have accurate length of stay information.

DISCHARGE PLANNING

  • Provides superior customer services to all internal and external clients, customers and patients
  • Completes roles and functions related to discharge planning/coordination including case identification, high risk screening, assessment of patient and resources, goal setting, implementing, maintaining and evaluating process. Goal is to complete within 24 hours.
  • Coordinate all discharge activities.
  • Initiate all appropriate referrals to continuum of care agencies in a timely manner.
  • Facilitates patient transfer from one level of care to the next.

Tufts Medical Center Post-Doctoral Fellow in Health Economics and Value Measurement

We are pleased to announce a post-doctoral fellow position at the Center for the Evaluation of Value and Risk in Health (CEVR) at Tufts Medical Center. This two-year fellowship program, sponsored by Sunovion Pharmaceuticals in Marlborough, MA, provides an excellent opportunity for the fellow to gain unique and in-depth applied work experience in health economic evaluation, value measurement, and global health research.  The expected start date of the fellowship is September 2022.

In the first year, the fellow will train at CEVR under the direction of Peter J. Neumann, ScD (CEVR’s Director), Joshua T. Cohen, PhD (Deputy Director), Paige Lin, PhD (Associate Professor), Tara Lavelle, PhD (Assistant Professor) and their colleagues. The fellow will spend four days a week with CEVR and one day a week with Sunovion in the first year and four days with Sunovion/one day with CEVR in the second year. The fellowship program will prepare the fellow for careers in academic, consulting, or industry settings.

The Senior Project Manager is a senior member of a research team within the Institute for Clinical Research and Health Policy Studies at Tufts Medical Center. Working closely with the Principal Investigator, this position has responsibility for the planning, management and execution of projects within the Center for Community -Engaged Medicine.  The Senior Project Manager will assist the Center Director in the effective submission, management and execution of multiple grants and contracts.  

This person will provide leadership and guidance while overseeing the day-to-day operations of the Center.   The largest program of the Center is the development and dissemination of HOPE – Healthy Outcomes from Positive Experiences. The Senior Project Manager will provide organizational support for new projects in the expanding Center.  The Center is in the process of bringing in new faculty members with their own academic interests, and the project manager may be asked to provide support for these projects.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Organizing daily activities including the daily morning team meeting and other internal communications

  • Reviewing and verifying scheduled outpatient visits for accuracy. This includes important demographic information and insurance information. Contact Tufts MC patient if any discrepancies are found.
  • Submit referral request or out-of-network request based on Tufts Medical Center contracting rules.
  • Manage daily ONTRAC work list and prioritize accordingly. Follow-up on pending cases, as needed.
  • Verify insurance via eligibility tool or phone call to the payor.
  • Submit referral request and follow up on any pending referrals to secure financial clearance prior to date of service. Document all steps taken in host system.
  • Verify referrals received through E-Fax and linking them to patient’s accounts in hospital system while noting in Ontrac and Experian.
  • Meet daily and weekly productivity standards.
  • Provide excellent customer service when receiving in-bound calls from patients and doctors’ offices.

The BMT Quality Program/Data Coordinator will develop, maintain and oversee the Quality Management Plan for the Bone Marrow Transplant and Cellular Therapy Program including all quality assurance, quality improvement and regulatory compliance. The Coordinator will work directly with the BMT Medical Director, BMT Quality Management Director, and BMT nurse coordinators to maintain and improve the Quality Management Program to ensure the highest quality of care and optimal patient outcomes.  The Coordinator will report directly to the executive director of the Cancer Center.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Ensure compliance with all applicable state and federal regulations and accreditations including the Foundation for the Accreditation of Cellular Therapy (FACT) and Joint Commission
  • Maintain, revise,  and implement the Quality Management Plan (QMP) which provides the  principles and tools for quality assurance, control, assessment and improvement activities for the BMT Program
  • Manage and maintain the document control system for the creation, review, revision and implementation of standard operation policies and procedures  
  • Conduct, review and report audits of BMT program clinical activities to verify compliance with and effectiveness of the Quality Management Plan
  • Collaborates with the Medical Director, FACT and BMT Nurse Coordinators to respond to audit findings and implement approved recommendations
  • Monitor and review error and accident reports, complaints and adverse events 
  • Prepare agenda for QM meetings and coordinate activities related to the QMP in the clinical, apheresis and processing facilities of the BMT Program to assure compliance with accreditation standards. Maintain meeting minutes.
  • Develop and maintain a system to document all BMT staff qualifications, training, competencies, annual evaluations and CME activities
  • Assist the Medical Director and FACT coordinator in preparing for FACT inspection and to maintain inspection readiness
  • Oversee the BMT Program StemSoft database, provide data management including data input, retrieval and analysis
  • Prepare quality management and outcome reports for the BMT Program
  • In conjunction with the BMT Nurse Coordinators complete and submit outcomes reporting forms for the Center for International BMT Research (CIBMTR)
  • Assist with the completion of Request for Information (RFIs) for insurance providers
  • In conjunction with the BMT Medical Director and BMT Nurse Coordinators facilitate with the onboarding of new cellular therapy products into the clinic. 
  • Position is remote with some onsite.

The Tufts Health Sciences IRB is federally mandated to review, monitor, and approve biomedical and social, behavioral, and educational research involving human subjects. The goal of the IRB is to ensure compliance to federal and state regulations on use of human subjects in research at Tufts Medical Center (TMC) and Tufts University Health Sciences (including the USDA Human Nutrition Research Center).

The IRB committees consist of members who represent clinical research disciplines, such as medicine, pediatrics, surgery, dentistry and nursing; basic research disciplines, such as microbiology, physiology and pharmacology; and social science disciplines such as psychology. Institutional and administrative members include the Tufts Medical Center Vice President for Research Administration, the Tufts University Associate Vice Provost for Research Compliance, and Pharmacists. Members who are not affiliated with Tufts Medical Center and/or Tufts University Health Sciences represent the community at large.

There are two IRB committees, which each meet monthly. This position is part of an integrated team that supports the functions and activities of the IRB committees, IRB Chair and Vice-Chairs, and the research community.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Proficient with IRB Office procedures to provide high level support to the IRB committees, IRB Chair/Vice-Chairs, and research community.
  • Coordinates exempt, expedited and convened meeting review of research, corresponds with Investigators and research teams to relay IRB Reviewer comments, and documents determinations appropriately.
  • Knowledgeable about federal and state regulations as well as institutional policies related to the protection of human subjects.

The Project Manager is a senior member of a research team within the Institute for Clinical Research and Health Policy Studies at Tufts Medical Center. Working closely with the Principal Investigator, this position has responsibility for the management and execution of projects within the Center for Community -Engaged Medicine. The Project Manager will assist the Center Director in the effective management and execution of multiple grants and contracts.  

This person will provide leadership and guidance while overseeing the day-to-day operations of the Center. The largest program of the Center is the development and dissemination of HOPE – Healthy Outcomes from Positive Experiences. HOPE, grounded in science, builds from the formative role of positive experiences in human development to inspire fundamental changes in how we advance health and well-being for our children, families, and communities. This project involves multiple grants and contracts from philanthropic foundations, federal and state sources, and income generated through training and technical assistance.  HOPE has an active National Advisory Board, a newly formed Family and Community Expert (FACE) council, and an active website and social media presence.  In addition to the Center director and consultants, HOPE has six full-time staff members, half of whom work remotely.

The Project manager will provide organizational support for new projects in the expanding Center.  The Center is in the process of bringing in new faculty members with their own academic interests, and the project manager may be asked to provide support for these projects.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Organizing daily activities, including the daily morning team meeting and other internal communications.
  • Coordinating the existing and planned networks, including both professional and community groups.
  • Maintaining work flows and tracking deliverables for all grants and contracts.
  • Supporting the development of contracts and grant applications.
  • Manage relationships with outside vendors and consultants.
  • Devising new programs that support the Center for Community-Engaged Medicine.
  • Working with other departments within the Institute for Clinical Research and Health Policy Studies.
  • Meeting with internal and external stakeholders to discuss program status, operations, and goal attainment.
  • Working with business strategy consultants to expand the influence and sustainability of the Center.

  • 5-7 years’ experience managing research projects and/or a demonstrated ability to coordinate and organize multiple activities requiring varying and often competing deadlines.

  • Verifies and abstracts specific clinical and demographic data:

    • Transfer destination
    • Date and responsible party for all procedures.
  • Verifies the DRG assignment, paying special attention to DRG’s in which a comorbid condition or complication has been identified.
  • Inputs the appropriate information into the hospital system discharge abstract.
  • Refers appropriate charts for DRG Validation, prints the coding sheets and attaches it to the record for review based on Departmental Policy.
  • Performs related duties such as answering and routing telephone calls and receiving people requesting information and services in the department.
  • Participation in continuing education programs as requested by Management
  • Participate in department staff training programs to develop skills that will achieve business goals and foster individual career growth.

Under the supervision of the Precertification Supervisor, is responsible for obtaining precertification and verification of benefits with all insurance carriers for inpatient admissions, outpatient and day surgeries, GI procedures, radiology services, sleep studies and/or echocardiograms. Financially secures each account well in advance and escalates financial clearance concerns through prompt and closed-loop communication. Collaborates and reviews financial clearance data with the Precertification Supervisor and Manager to ensure proper authorization for all services.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Contacts insurance companies to obtain verification of insurance, eligibility, and level of benefits. Enters benefit information into hospital computer systems.
  • Contacts patients, when necessary, for updates of financial and demographic information. Enters all data into hospital computer systems.
  • Obtains financial data from a variety of sources including both in-state and out-of-state payers. Utilizes computer systems, payer eligibility sites & phone outreach.
  • Arranges for coordination of benefits when more than one insurance carrier is involved.

  • Immediately identifies denied claims and works closely with department leaders, coordinators and clinical team members toward their appeal and peer to peer workflow.

  • Acts as a resource to other departments of the hospital regarding precertification policies and resolution of accounts.

  • Assist the Center Director with Tufts Institutional Review Board (IRB) submissions and annual updates, as well as support new and ongoing research studies. Establish and maintain record keeping and filing systems to include electronic filing systems for correspondence, multiple research project-related materials, reference materials, articles, patient records, personnel files, etc.
  • Coordinate, with Center Director and ICRHPS Research Administration, outgoing grant and contract proposals, new grants and contracts set ups, assigning of staff effort, and reporting.
  • Coordinate the Center’s outreach initiatives, including contributing to hospital/regional/grant based reports, conference presentations/meetings, and e-newsletters. Responsibilities include summarizing data, assisting with presentations, arranging for conference locations, development and distribution of materials and communication, and organization of meetings, both onsite and offsite.
  • Provide REDCap database support. Responsibilities include updating database instruments and creating reports.
  • Conduct literature searches using the Internet.
  • Oversee the day-to-day administrative activities of CHS, including facilities issues, copying, telephone, faxing
  • Work as a “team player” to participate in research projects, or perform routine administrative work for other staff members in the Center as the need arises.  Participate in staff meetings.

      This position provides support to the Manager of Precert/Auth by acting in the capacity of a Supervisor, coordinating the work of an assigned group of Patient Access Coordinators, within the Precertification unit and/or Referral Management unit and/or the Pre-Registration unit.

      Responsible for the accurate and timely security of authorizations and referrals within the scope of Precertification and Referral Management units, including insurance verification and notification. Additionally responsible for data integrity of all accounts within all units, including Pre-Registration.

      PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

      • Demonstrate interpersonal skills necessary to provide leadership to the teams; collaborate with Manager and Director in support of Tufts Medical Center (MC) and Tufts Medical Center Professional Organization (PO) goals and objectives.

      • Facilitates regularly scheduled team meetings to review performance, share new policies and procedures, and keep employees informed about departmental issues.

      Job Description

      Job Summary:

      The Payment Variance Analyst, under the supervision of Manager of Payment Integrity, performs extensive analysis and various follow-up activities to ensure the integrity of billing and reimbursement of medical services provided by the hospital are accurate and appropriate. Responsibilities include identifying payment variances and working internally and externally to resolve such issues in order to recover underpayments.

       

      Essential Responsibilities:

      •  Identify and analyze payment variances, working closely with third party payers to resolve issues and ensure correct reimbursement.  Present recommendations to Manager regarding billing, charge, and coding issues
      • Work with other hospital departments, including, but not limited to, Patient Accounts, Health Information Management, Continuity of Care, and clinical areas to ensure revenue integrity.
      • Identify and bring contract rate discrepancies as well as missing payment or claim files to the attention of the supervisor and/or manager.
      • Analyze and gather supporting documentation to process appeals to third parties, and follow up with payers accordingly
      • Perform research and analysis related to billing and reimbursement.  Maintain current knowledge in the areas of third party billing, reimbursement schedules and methodologies, coding, payer contracts, billing and payment rules and regulations, and hospital billing compliance.
      • Research and assess third party denials in the contract management system, reporting trends to the Manager.
      • Evaluate and take appropriate action on third party audit results and/or retractions, including validating audit findings and reimbursement, summarizing the results of the review, and proposing and assisting with next steps if applicable.
      • Produce ad-hoc reports for leadership team.
      • Perform special projects and other duties, as assigned.

      Qualifications

      Proficiencies

      • Ability to work independently and use critical thinking.
      • Detailed knowledge of reimbursement schemes for predominant payers.
      • Detailed knowledge of regulatory requirements, particularly Medicare and Medicaid.
      • Detailed knowledge of CPT, HCPCS, revenue codes and ICD-10 CM.
      • Computer skills; MS Office including Word, PowerPoint, Excel and Outlook; Windows operating system and Internet.

      Abilities

      Due to its service focus, this position requires strong interpersonal and communication skills, well-developed analytic and organizational skills, critical –thinking and the ability to meet deadlines.

      Education

      Bachelor’s degree from a recognized college or university in business, healthcare or a closely related field. At least 3 years-experience in Patient Accounts or related accounting field, Managed Care, Reimbursement or Third party Payer work.

      An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements.

      Knowledge/Skills

      • Experience in EPIC installations preferred
