What you will accomplish with us  

  • Support management and project teams with daily requests; coordinating meetings, planning, tracking, scheduling and resource planning, document management, common data environment, research, benchmarking, contractual agreements, invoicing, document production, and various ad hoc items);  
  • Facilitate and support communication management between stakeholders and project teams;
  • Enter and maintain the quality of CRM/ERP and project management data;
  • Manage the administrative functions and activities for all team members and office in the Toronto studio (couriers, office supplies, facilitates maintenance, coffee/tea orders, lunches and reservations, client and team gifts, lunch and learns/PK’s, alarm system, etc.);
  • Manage and liaise with Building Managers for Facilities Management – point of contact for news, announcements, updates, modifications, etc;

What you need

  • Professional diploma or certification in, business management, project management or related field;
  • 2-3 years minimum experience in project management or A&E office environment;
  • Technology savvy: Mastery of MS Office suite and Adobe suite; Project Management software tools is an asset;
  • Excellent written and verbal communication, editing, and interpersonal skills;
  • Solid organizational and time management skills, including attention to detail and multi-tasking various tasks;
  • Ability to think critically, analyze data, and solve complex problems;
  • Bilingualism in French is an asset;
  • Valid drivers license is required.

    Position Summary

    • The Digital Product Content Project Coordinator role is a key member of the Company's Digital Product Content team and will report directly to the Director of Digital Product Content.

    What this Job Entails: 

    Working as AV Project Coordinator II you will be a central part of a team delivering industry-leading audiovisual systems installations. Advising and closely coordinating with others, including the project managers, design engineers and bench engineers, you will be part of the team delivering first-class installations in an economical and timely manner. 

    You will be supported by, and be working closely with multiple parties including colleagues in managed services, project management, systems design and project engineering teams, and our commissioning engineers. 

    Responsibilities:

    • Build and maintain good relationships with suppliers and manufacturers of AV and VC equipment globally.

    • Have a major input to the success of a project and play a pivotal role in the future success of the company. 

    • Take ownership of the delivery of the AV equipment procurement and logistics process, while analysing, documenting and implementing best practises from experience and lessons learned.

    • Take ownership of our integration partnership programme and maintain relationships with all global partners to reduce costs, improve response times and implement customer satisfaction surveys.

    • Play a managing role in deploying in house audio visual resources globally and maintaining allocation of resources tracking documentation.

    • Manage contractual cover allocation for all our active managed services engagements globally

    Main Duties:

    • Work with the sales and design teams to calculate lead times and cost of equipment and delivery for each project.

    • Reach out to prospective manufacturers and suppliers to build relationships and add them to our list of partners.

    • Work with the project managers to arrange procurement and delivery schedules to best suit the proposed project timeline.

    • Receive engineer support requests from the project managers and work with the regional engineering SDMs to allocate in house engineering resources.

    • Work with Astreya’s legal department to make sure that all external partnerships have completed and filed NDAs, MSA and ICAs.

    • Work with Astreya’s finance department to make sure that all POs and invoices are generated, tracked and managed for both accounts payable and accounts receivable.

    • Work with various program leadership teams to allocate additional resources as and when required

    • Feedback to Astreya AV practice management regarding customer satisfaction issues when necessary.

    Experience & Skills Required:

    • A positive attitude, a ‘can-do’, ‘team first’ approach to your work.

    • Flexible approach to working schedules to include possible out of hours (early or late)

    • Working unsupervised

    • AV / VC Systems Knowledge in a Corporate environment ( Microsoft Teams, Zoom, Google Meet, Cisco, Blue Jeans, Pexip, etc.)

    • Experience in managing supplier and manufacturer relationships

    • Experience in tracking financial processes

    • Ability to draft and present reports in English

    • Knowledge of how to use Google Suite and Google Drive

    • An understanding of the end-to-end complexities of an audiovisual and video installation project.

    • A proven track record in procurement.

    • 3 years+ in a similar position. 

    • Comprehensive knowledge of a range of VC and integrated audio equipment. 

    • Industry certifications are advantageous.

    Reporting to the Director of the Center for Health Solutions (CHS), this position supports CHS operations in key project and administrative functions to ensure smooth operations and continued program growth. The Project Coordinator II will coordinate a wide-range of research program functions within CHS. Working with the Director and with research faculty and staff, the Project Coordinator II will be responsible for the coordination and oversight of work timelines and staffing distribution of effort, will be the point of contact with funding agencies and collaborators, and will provide support to members of collaborating industry partners. The Project Coordinator II will also be responsible for providing administrative support to the CHS Center Director.

    PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

    • Provide administrative support to the Center Director including calendar coordination, travel planning, and assistance with tasks related to the Director’s clinical, research and teaching activities, including updating/maintaining the Director’s curriculum vitae and biosketch and CME credits.
    • Assist the Center Director with Tufts Institutional Review Board (IRB) submissions and annual updates, as well as support new and ongoing research studies. Establish and maintain record keeping and filing systems to include electronic filing systems for correspondence, multiple research project-related materials, reference materials, articles, patient records, personnel files, etc.
    • Coordinate, with Center Director and ICRHPS Research Administration, outgoing grant and contract proposals, new grants and contracts set ups, assigning of staff effort, and reporting.
    • Coordinate the Center’s outreach initiatives, including contributing to hospital/regional/grant based reports, conference presentations/meetings, and e-newsletters. Responsibilities include summarizing data, assisting with presentations, arranging for conference locations, development and distribution of materials and communication, and organization of meetings, both onsite and offsite.
    • Provide REDCap database support. Responsibilities include updating database instruments and creating reports.
    • Conduct literature searches using the Internet.
    • Oversee the day-to-day administrative activities of CHS, including facilities issues, copying, telephone, faxing
    • Work as a “team player” to participate in research projects, or perform routine administrative work for other staff members in the Center as the need arises.  Participate in staff meetings.

    Qualifications

    JOB KNOWLEDGE AND SKILLS:

    As a Project Coordinator, you will report to the Cross-functional Project Manager at Ludia and work closely with all business units to develop and align priorities for cross-functional projects.

    Your responsibilities are:

    • Contribute to the development of the Studio's cross-functional multi-project portfolio, 
    • Assist internal communities in establishing continuous improvement strategies,
    • Provide a framework for project execution in a spirit of evolution (project methodology, planning, tracking)
    • Write project management documentation for agile development and cross-functional projects,
    • Propose, implement and facilitate process improvement;
    • Coordinate, facilitate and document Community/Guild retrospectives to extract key learnings and ensure sustainability;
    • Coordinate the evaluation and preparation of various projects;
    • Contribute to good project management practices in cross-functional projects

     

    Qualifications

        JOB DESCRIPTION

        The Sr eDiscovery Project Coordinator will be responsible for managing assigned litigation, regulatory and investigative matters through the eDiscovery lifecycle, including working with outside counsel and internal stakeholders to define scope and criteria for the project, preserving, collecting, processing, and delivery of relevant ESI data within designated deadlines. Collaborate with other team members, internal & external counsel on the proportional and defensible eDiscovery strategies, including data minimization and the application of technology to optimize review efficiencies.

         

        RESPONSIBILITIES

        ·       Develop and execute e-discovery plans across multiple projects and revise as appropriate to meet changing needs and requirements.

        ·       Execute eDiscovery data collection, processing, and data production under the guidance of the eDiscovery Program Manager, Experian Law Department and contracted Outside Legal Counsel

        ·       Liaise with outside counsel and internal stakeholders to respond to internal eDiscovery process questions, capture requirements, assist with scoping and keyword criteria, and provide case statistics.

        ·       Support legal hold preservation tasks triggered by daily reporting and legal hold management system.

        ·       Coordinate small data reviews for GPDR Data Subject Access request and internal investigations using the eDiscovery process.

        ·       Provide eDiscovery platform trainings for internal stakeholders.

        ·       Execute the collection process by administering new collection jobs using endpoint technologies, such as EnCase, Nuix, Magnet Cyber, Cellebrite and Code42.

        ·       Document collection metrics and continually enhance eDiscovery metric dashboards within Tableau.

        ·       Process collected data into Nuix and perform post-Ingestion Quality Control steps in accordance with existing SOPs and SLAs.

        ·       Lead and support process improvement initiatives, updating and developing new documentation for eDiscovery processes and guidelines.

        ·       Participate in assessing, coordinating, and making recommendations regarding the company's in-house e-discovery strategy, technology, and resources.

        ·      Adhere to the Change Management process and deploy eDiscovery software upgrades, while partnering with vendor software support to troubleshoot and remediate issues that may arise.

        ·       Participate in internal status meetings by providing effective feedback and project updates.

        Qualifications

        EDUCATION & EXPERIENCE

        • Bachelor’s degree in Computer Information Systems, Computer Science or related technology field, or equivalent work experience.
        • Experience working with legal departments or in the litigation support area with a focus in eDiscovery processes and leading eDiscovery matters across the stages of the Electronic Discovery Reference Model (EDRM).
        • 3+ years IT experience, with 2+ years supporting e-discovery or information management technical operations in a corporate environment, law firm or consulting practice.
        • Industry or vendor related eDiscovery and/or Digital Forensic certifications: Nuix Certified eDiscovery Specialist, EnCase Certified Examiner (EnCE), SANS GIAC Certified Forensic Examiner (GCFE) or ACEDS.
        • Experience using EnCase eDiscovery, Nuix Workstation, Microsoft 365 (M365) Compliance Center (eDiscovery core).
        • Experience with Legal Hold management and Data visualization applications
        • Experience with process automation and scripting languages – PowerShell, Python or Ruby.
