Lighthouse Labs is looking to welcome a new Product Operations Manager to a new team dedicated to helping employer partners maximize their ROI on entry-level tech hires (including LHL graduates). We are developing a new product suite that will help employers attract, onboard, develop, and retain these employees. Many components of this product suite involve deploying our in-house pool of mentors.  

In this role, you will collaborate with the post-program support product lead to build an efficient system for delivering on the product strategy. You will work with our learning experience team, mentoring team, employer partners, and students to deliver holistic solutions that make employers and employees ecstatic about working with Lighthouse. Overall, as our Product Operations Manager, you are accountable for the successful delivery of the product experiments we wish to run (not the success of the experiments themselves, of course!).

What you’ll be doing:

  • Helping to build and deliver products that are designed to help our recent grads (and other entry-level employees) shine at their new employers (and making those employers overjoyed that they hired them).   
  • Working with the product team to move initiatives from concept to reality through planning and managing projects, along with engaging cross-functional teams like marketing, learning experience, education delivery, technology, career services, and more. 
  • Creating robust infrastructure around research, experimentation, and analysis. 
  • Optimizing processes, tools, and reporting.
  • Building, monitoring, and analyzing feedback loops from employers, mentors, and students, to generate insights for the product and executive teams. 
  • Developing detailed documentation around policies and processes.  
  • Guiding product management efforts, like user research and interviews.

  • A proven track record of managing a variety of operational initiatives and translating strategic plans into reality.

  • Responding to customer queries in a timely and accurate manner, via phone, email, or chat.
  • Conducting initial troubleshooting of customer issues (for example, by testing different scenarios or impersonating users).
  • Identifying customer needs and helping customers discover and use specific features.
  • Informing customers about new features and functionalities with the software. 
  • Following up with customers to ensure their issues are resolved.
  • Gathering customer feedback and share with our Product, Sales and Marketing teams for process improvement and iteration. 
  • Assigning & supporting mastermind groups. (Mastermind groups are small peer-led learning pods)
  • Managing asynchronous resources for PPS mentors and customers 
  • Monitoring and contributing to PPS mentor Discord and Slack channels 
  • Coordinating, scheduling, and managing training shifts
  • Solving mentor scheduling issues 
  • Supporting PPS mentor onboarding tasks:  contracts, shadow shifts, offer emails/inquiry emails, mock lectures, calendars & scheduling

What we need from you:

  • A minimum of 2 years experience delivering customer support, ideally for SaaS software. 
  • Experience troubleshooting customer issues by trying various resolution methods.
  • Superior communication skills with a proven ability to translate technical problems to fit the understanding of different audiences.
  • Experience onboarding, training, and scheduling teams. 
  • Strong and confident communication that leads with empathy and urgency

This position will be a crucial addition to the organization, reporting to the Sr. Director of Operations, and provide support in various corporate functions to the Operations, Communications, and Finance Teams.   • Work with the CEO and other management team members to lead the coordination of organizational participation in external events and scheduling meetings with key stakeholders
  • Lead coordination of staff travel, including:
    • Overseeing travel requests, travel advances, and informed consent waivers;
    • Coordinating all staff event logistics; and
    • Compiling and verifying expense reports and travel-related receipts
  • Work with the CEO to lead coordination of activities related to board meetings
  • Manage organizational contacts in CRM and email marketing platforms
  • Assist with scheduling and planning agendas for Operations Team, Senior Management, and All Staff meetings
  • Internal communication support, including weekly internal newsletter compilation and dissemination
  • Perform regular compliance and recordkeeping for employees and consultants, including:
    • Quarterly compliance checks on active partners as well as compliance check on new partners;
    • Collecting annual goal setting and performance review forms for all staff;
    • Initiating and ensuring staff completion of annual contracts, Conflict of Interest forms, Code of Conduct on Anti-Harassment; and preventing sexual exploitation, abuse, and harassment training.
  • Provide support to the human resources function as needed, including:
    • Posting open positions and monitoring/screening applicants;
    • Coordinating interview processes with candidates and staff members; and
    • Keeping employee onboarding materials updated.


  • Assist with monthly credit card reconciliation, including receipts collection, expense review, and bookkeeping entries
  • Support organizational and project-specific procurement/purchasing
  • Support the year-end audit process by compiling receipts and other documentation including but not limited to policy updates, HR updates, Board meeting minutes, and other organizational information
  • Prepare quarterly CEO credit card expense report to be shared with Board
  • Prepare consolidated bank statements to be shared with controller and senior management team
  • Assist with preparation of project budgets and monthly project spending reports

Required Skills, Qualifications and Experience

  • Bachelor’s degree in relevant field, or similar experience;
  • 1-2 years of experience in related positions or activities, such as human resources administration, executive/management support, administrative/office management;
  • Basic knowledge and understanding of professional accounting principles, theories, practices, and terminology;

The bread and butter of the position involves:

  • Troubleshooting technical issues in Dradis and helping our developers diagnose bugs.

  • Enhancing and growing our online documentation tools.

Customer success is a big part of the role. You'll work one-on-one with customers, helping them to get the most out of Dradis. You won't be shy to jump on a live screen-sharing session, or to schedule meetings to talk about unique use cases.

Other areas you'll be dealing with:

  • Techie stuff: when people report bugs or are having trouble using Dradis, you'll help them troubleshoot and re-create bugs for our development team.
  • Taking care of people stuff: when people just want to chat or have a social media question, you'll respond.
  • Screen-share stuff: youwe don't like to keep our users waiting. If regular support channels like email or Slack don't cut it, you may jump on a quick screenshare to help.

This is a full-time position with an immediate start date to work 100% remotely. You'll be taking care of our customers and community for about 40 hours per week – Monday through Friday having a flexible schedule with reasonable overlap with normal EU business hours

About you:

You speak technology as a first language and are great at teaching yourself new software and web applications. You are not afraid of the source code, and have some rudimentary knowledge of Ruby (or some other programming language) and are not afraid to use it!

Event Logistics Support

  • Support set-up for virtual and in-person events.
  • Maintain our yearly conference calendar, monitoring proposal and registration deadlines.

  • Ensure timely submission of post-travel debriefs, presentation attendance lists, and expenses.

Scheduling Support

  • Support the scheduling of internal projects, departmental, and divisional team meetings.
  • Support the scheduling of meetings with external actors, including both close allies and campaign targets, using tools such as Doodle, Outlook, Slack and Basecamp.
  • Support Membership Department’s scheduling with nonprofit member working groups.

Salesforce Database Support

  • Support staff in adding interactions and indicators from calls and emails to Salesforce
  • Update key contact and account information
  • Upload attendance lists in collaboration with our IT (Information Technology) team
  • Generate Salesforce reports as directed


Miscellaneous Administrative Support for Programs

  • Assist with organizing virtual files in our SharePoint system for greater ease of use.
  • Liase with Operations staff on project budgets and other administrative systems.
  • Support information gathering for evaluative purposes.



  • At least 1-2 administrative/operations experience you can apply to a nimble nonprofit environment, including strong scheduling and calendar management chops.
  • Demonstrated experience managing online and in-person events, for small groups and large audiences alike.
  • Highly organized, with excellent attention to detail, often finding and fixing mistakes, or issues before anyone else notices them.
  • Adept at prioritization and multi-tasking, able to juggle competing demands without sacrificing quality and adapting to shifts in deadlines or plans.
  • Excellent written and verbal communication skills and a reputation as a collaborative team player.
  • Able to work well autonomously and with others to achieve organizational goals, including proactively managing up and across to get things done.

Your focus will be on learning about developing and implementing user interface components while picking up well-known Front-end development practices and workflows. You will work with others on the application infrastructure to ensure that these components, and the overall application, are robust and easy to maintain.

  • Development and maintaining of new and current frontend applications (HTML / CSS / React)
  • Working with rich media to create optimized web assets.
  • Strategic interpretation of business requirements, wires, and functional specs
  • Collaboration with internal teams such as UX, Design, QA, and Product
  • You will be a true team-player and a great collaborator who is eager to provide insight and receive feedback from the wider team
  • Reviewing and debugging code for quality, errors, security problems, scale and performance issues during development and in Production

For this role you will need:

  • 1+ Years of professional web development
  • Strong understanding of ES2015+ syntax as well as JavaScript in general, including DOM manipulation and the JavaScript object model
  • 6+ months of React development with Redux experience
  • Experience with Mobile First Development
  • Experience with npm and using a “package.json” file
  • Experience with unit testing (Jest / Enzyme)
  • Experience with various Debugging tools
  • Experience with using version control tools; preferably Git or Bitbucket
  • Ability to understand business requirements and translate them into technical requirements
  • Can interpret Storyboards, Wireframes, Visual mockups, and other Media elements
  • Good written and verbal communication skills
  • Comfortable communicating and actively participating on a Scrum Team
  • Solid independent time-management and organizational abilities

  • Familiarity with Adobe Creative Suite and Sketch

  • Participate in testing new features and releases.
