Job Description:

Benefitfocus is looking for a User Experience (UX) Design Intern to work closely with our UX Design & Research team for our Summer 2022 Internship Program. UX Design & Research is a fast-moving team focused on making our apps and products successful through the design of software interfaces that are easy for our clients to use and that are aesthetically pleasing. This role would be a great fit for someone highly organized, passionate about UX, and able to work as part of a collaborative team to drive business results.

 

Responsibilities:

  • Work closely withthe internalUX Designteamto support feature designsand updates.
  • Participatein user experience research efforts to evaluate user needs and identify design opportunities.
  • Assist with supporting documentation updates for the Benefitfocus Manual of Style design system.

General OperationsResponsibilities:

  • You will be responsible for optimizing HR processes and systems to create a positive associate experience as well as setting and following good compliance/audit standards.
  • Maintain comprehensive knowledge of HR programs, plans, policies, and processes, payroll, and HR systems.
  • Support various processes such as I-9, AAP, Employment verifications and Unemployment claim inquiries.

ComplianceResponsibilities:

  • Ownership ofannual compliance audit processes
    • Conduct regular audits of standard compliance requirements.
    • Perform audits and controls to ensure compliance withHITRUST,Sarbanes-Oxley(SOX),service organization controls (SOC),Wage and Hour, and HR policies and procedures.
    • Responsible for the creation ofStandard Operations Procedures (SOPs) and process workflows.
    • Participate and contribute to the pro-active review and implementation of process improvements
  • Main point of contact for immigration processes(foreign national sponsorship)
    • Work with the external immigration law firm to support immigration programs and assistforeignnationals with immigration procedures.
    • Monitor progress for all U.S. immigration cases in conjunction with external immigration counsel, identify long-term sponsorship issues, and communicate risk to talent acquisition/hiring manager.
    • Act as a central point of contact for all Visa mattersandprocess questions for immigration sponsorship.
    • Track and update all Immigration cases, proceduresand matters, conduct regular reporting, and prepare specific reports, as necessary.
    • Review and track vendor invoices and payments relating to immigration.

 

HRIS SystemAnalysis and ReportingResponsibilities:

Maintenanceand ongoing system improvements

  • Supports daily activities, maintenance and configuration ofcurrentHRISSystem.
  • Research and test new functionality and features withinthe current HRIS systemincluding system releases, enhancements,fixesand the deployment of new functionalities.
  • Automates and enables ongoing process improvements to enable the system to ease the use ofassociatesand leaders, allow the system to be utilized to its fullest extent and provide greater value to the overall organization.
  • Assist the HR team with the HRIS portion of key HR transactions such asemployee changes, promotions,terminations, new hires and acquisition activity.
  • Support business users with technical issues by investigatingsystemproblems and developing solutions.

Data Accuracy

  • Confirms accuracy and integrity of all data enteredinthe HRISSystemand databases and assure information is available on a timely basis.
  • Supports data management activities including data audits, data cleanup strategy, and manual cleanup work.
  • Perform group data updates, exports, imports, clean-ups, and research/report on any data discrepancies.
  • Manage the creation and ongoing maintenance of system hierarchy to ensure the Approval Process flows correctly and is accurate.

Reporting

  • Prepares reports, graphs, charts and statistics as requested to support human resources activities and projects.Reports will range from simple listings up to highly complex reports using advanced reporting tools and techniques.
  • Design, develop and provide insights on reports and dashboards.

Requirements:

  • High school diploma or equivalent required;Bachelor’s degree in HR / Business or related field; or equivalent work experience.
  • Minimum of 5 years’ experience managing HRIS data.
    • HR system implementation experiencea plus
  • Minimum 3+ years at the HR Specialist level, within an HR Operations and/or Shared Servicesorganization.
  • Minimum of2years in overall Global Immigration experience. This must consist of 4 years of corporate immigration experience with NIV [L-1A/B, H-1B, TN, E-3, J-1, O-1, F-1/J-1/L-1 conversion to H-1B] and PERM.
    • Demonstrated success independently managing multiple activities for a global immigration program.
    • Experience managing immigration vendor relationships and holding a high bar of accountability to ensure employee and company needs are met.
    • You are an empathetic and clear communicator; you have the ability to distill complex regulations and processes to partners who are not familiar with immigration matters and have outstanding discretion when handling sensitive and/or confidential information.
  • Knowledge of principles, practices and standards of human resource administration, HR Law/policy
