Big Brothers Big Sisters of America is hiring a Remote Director, Conferences & Events

Position Purpose

As a direct report of the Senior Director, Conferences and Events, the Director Conferences & Events is responsible for a diverse calendar of meetings and events for Big Brothers Big Sisters of America (BBBSA), including, but not limited to, the annual BBBSA National Conference. The Director, Conferences & Events will have the ability to work collaboratively with other members of the team to deliver a high standard of meeting planning excellence to the organization’s stakeholders. In addition to sound and proven event related technical capabilities, the Director must bring and effectively execute position responsibilities with advanced interpersonal skills across all levels of internal and external engagement and manage a significant amount of cross-functional collaboration. The ideal candidate should understand the non-profit environment and be adept with evolving priorities. They will be expected to contribute to broader department initiatives and organizational goals. A high-level of initiative, self-motivation, flexibility, creativity, and collaboration is required to develop, plan, and execute successful meetings and events.

Location:United States (Remote), Applicants in Eastern Standard Time (EST) preferred.

Travel:Approximately 25 - 30%

Essential Duties and Responsibilities

National Conference Planning and Overall Event Execution:

  • Lead VIP management, including, but not limited to, hotel confirmations, room drops, gifts, rider agreement fulfillment and other special requests.
  • Operate with direct or partnering onsite management and accountability for production, rehearsal, staff and meeting schedules, hotel and banquet team obligations, AV obligations, vendor load-in/stet up, speaker management, registration preparation, and general session execution.
  • Lead hotel logistical needs, such as: plans, selects and manages all food and beverage for events (hotels, caterers, restaurants, etc.), meeting space specifications and housing block management.
  • Oversee vendors and Big Brothers Big Sisters (BBBS) agency and/or BBBSA staff in the organization and management of all event details including, but not limited to, advising on decor, audio/visual needs, catering, entertainment, transportation, décor, signage/branding, equipment, promotional materials, etc.
  • Advise on group arrival and departure manifests for maximum service levels and financial considerations; proactively manage arrival/departure changes, cancellations, additions, and staff resources.
  • Partner to ensure all events are developed and executed under a lens of our commitment to a J.E.D.I. (Justice, Equity, Diversity, Inclusion)-, including, but not limited to, equitable and compliant accessibility (virtual and in-person), program content, Call for Presentations, vendor selection, certifications, speaker resources/training, etc.
  • Serve as a collaborative partner and event subject matter expert internal committee(s) for management of educational content; partners with leadership to finalize conference program.
  • Communicate with cross-functional planning teams for large-scale events that include employees at all levels, including senior executives, setting timelines, deliverables, goals, objectives, strategy, and project plans.
  • Directly manage and engage event stakeholders, vendors, and others through effective pre-event communication on logistical and AV needs, information gathering of bios and headshots, presentation/ppt templates, on-site details.
  • Manage the placement of activations and exhibitors in consultation with various stakeholders.
  • Establish and maintain favorable working relationships with all stakeholders including internal and external partners and vendors.
  • Market and promote Exhibits by developing a prospectus and managing solicitation to new and recurring exhibitors.
  • Identify, develop, and evaluate marketing opportunities to increase attendee engagement and secure adequate traffic during exhibit times.
  • Market and promote events; manage event revenue via Cvent registration system with accountability for accurate tracking in support of budget management.
  • Organize Exhibit placement.
  • Recruit and train colleagues to support exhibits.

Communications & Partnership:

  • Supports the procurement and sponsor acquisition process with appropriate data, research, creative concepts, and presentation development with the primary focus on sponsors and exhibitors for the National Conference.
  • Identifies and works with host city to maximize event exposure through branding, gifting, and other attendee experiences that leaves a positive footprint on the city/local market.
  • Produces articles and content used for internal and external communications including conference website, network intranet, Workplace by Facebook, mobile apps, conference program book, and Social Outlets.
  • Communicates with cross functional planning teams for large scale events that include high-level executives setting timelines, deliverable, goals, objectives, strategy, and project plans.
  • Interfaces with internal departments and external vendors to schedule projects, keep projects on track and meet deadlines with successful outcomes.
  • Provides tactical input and guidance to conference stakeholders to identify organization goals and objectives for each component of the conference/events.
  • Demonstrates advanced leadership of large teams/groups independently and employ influence.
  • Successfully stewards important relationships with board members, agency leaders, donors, partners, and other stakeholders.
  • Cultivates new relationships in support of our convenings and other internal efforts.
  • Provides feedback and periodic reports to management.
  • Review and interpret themes presented in event survey results.

Manage Big Brothers Big Sisters of America (BBBSA) Nationwide Convenings:

  • Works closely with internal stakeholders to develop event theme, branding, logo & collateral.
  • Executes RFPs, venue sourcing and site selection for best fit locations and evaluates vendor services and venues according to industry standards and stakeholder requirements; communicate and gain buy-in on recommendations.
  • Leads hotel logistical needs, such as: plans, selects and manages all food and beverage for events (hotels, caterers, restaurants, etc.) and meeting space specifications.
  • Supports budget development and monitor project expenses to ensure events are delivered on budget.
  • Collaborates and elevates cross department meeting goals and priorities, provides professional advisement, and hands-on execution leadership.
  • Develops and applies relevant strategies to make decisions will ensure that they can support all levels of convenings.
  • Works independently without concise direction and develop visionary concepts that support overall goals.
  • Tracks event data with proficiency and creates leverage plans; develops support communications to be shared in attendee emails, etc.

Related Duties:

  • Creates accurate budgets, tracking costs, invoice approval, tracking spend against budget, and accountability for accurate cross charge and accruals, as appropriate; final budget reconciliation.
  • Effectively negotiates and manages contracts/agreements with hotels and venues to support events.
  • Identifies volunteer and staff needs, develops associated role descriptions and collaborates with host city for filling staffing roles.
  • Ensures compliance with insurance, legal, ADA, and Special Dietary obligations.
  • Works closely with the marketing team and external marketing firms with project management of creative, program books, video creating/acquisition, Run of Show management, and on-site rehearsal schedules.
  • Oversees the effective management of the scheduling of the entire conference on multiple multimedia platforms.
  • Manages other duties as assigned.

Education & Related Work Experience

Education Level:Bachelor’s Degree or equivalent experience. Active Certified Meeting Professional (CMP), preferred.

Years of Related Work Experience:6-10 years related experience with significant conference, meeting and event management experience and stewardship and fundraising event experience required; national and regional experience preferred, but not required.

Skills and Knowledge: Well versed in non-profit culture and able to keep up with evolving priorities; Advanced creative problem-solving skills and ability to remain flexible; Keen organizational and time management skills, incredibly detail oriented; Exceptional interpersonal skills, both internal + external and across all levels; Ability to manage multiple projects or priorities simultaneously; Highly self-motivated and demonstrates initiative; Superior project management skills: Excellent verbal and written communication skills; Proficient in Microsoft Office, CRM and/or AMS platforms, event registration systems, and online applications; Experience with negotiating and building partnerships with vendors, sponsors, and exhibitors; Supports the development and adoption of best practices, training, and high standards of excellence across all events.
