THE ROLE

We are looking for a highly motivated, detail-oriented Grant Accounting Manager with a growth mindset who excels in dynamic, evolving environments. As part of our small but impactful finance team, you’ll be critical in managing grant allocations and compliance within a $100 million budget for one of the most recognized nonprofit EdTech organizations globally.

Reporting to the Sr. Revenue Manager, the Grant Accounting Manager will manage monthly grant allocations and reporting, ensuring compliance with donor requirements and GAAP standards. This role is essential in supporting accurate, consistent financial tracking and reporting for grants, focusing on allocation management, grant-specific compliance, and clear documentation to aid internal and external reporting. This is an individual contributor (IC) role, not a managerial position, and does not require any staff management responsibilities.

Role Responsibilities:

Grant Allocation and Cost Analysis:

  • Perform monthly grant allocations and revenue releases, ensuring alignment with restrictions, allowable expenses, and usage guidelines. 
  • Collaborate with finance and product teams to accurately assign payroll and non-payroll expenses to grants based on usage, project needs, and funder guidelines.

Record-keeping and Compliance:

  • Accurately document all allocations in financial systems, ensuring audit readiness.
  • Support audits by preparing detailed reports and maintaining data integrity. 
  • Work with the Sr. Revenue Manager to ensure compliance with funder requirements, including expense classification, restricted funds, and allocable costs.

Grant Reporting:

  • Prepare grant spending and performance reports for funders. 
  • Serve as a resource on cost allocation and direct cost classifications across departments. 

Month-End Close Support:

  • Assist with month-end close tasks, including creating revenue schedules and performing revenue reconciliations as needed.

What You Bring

  • 3-5 years of experience in accounting or finance within a nonprofit or grant-driven organization. Familiarity with grant compliance, allocations, and reporting is essential.
  • Familiarity with GAAP, emphasizing revenue recognition and fund accounting principles (ASC 606, ASC 958) as applicable to nonprofits.
  • Demonstrated experience in grant accounting, with an understanding of restricted and unrestricted grant requirements.
  • Audit experience supporting grant or financial audits, including preparation of audit-ready schedules and reports, is highly desirable.
  • Proficiency in accounting software (e.g., Intacct, NetSuite) and advanced Excel skills for financial analysis, data reconciliation, and reporting.
  • Experience with monthly and quarterly close processes, including revenue reconciliations and schedule preparation.
  • Strong analytical and problem-solving skills, with a focus on accuracy and attention to detail in managing allocations and expense classifications.
  • Ability to work independently and manage multiple grants with varying restrictions and compliance requirements.
  • Effective communication skills for cross-departmental collaboration with finance and product teams, and for handling funder and auditor inquiries.

How we work:

Galileo is a 24/7 medical group utilizing asynchronous text-based chat and synchronous video to provide high-quality, comprehensive primary care.

This role is part of a new team we're establishing in New Mexico. This role will require 1 day/week (8 hours) of in-person care in Santa Fe, NM. We're open to someone working on a part-time basis. With the exception of the in-person care day, we work in 4-hour shifts (mornings, afternoons, evenings, overnight on weekdays and weekends) and require a minimum of 14 hours a week (alternating 12 and 16 hour weeks). At 24+ hours you will be considered full-time and benefits eligible. Providers are required to work at least two 4 hour shifts each weekend, in addition to their weekday hours.

Compensation:

$78/hour (regular rate) and $90/hour (premium rate)

About the role

We’re looking for a seasoned UX Writer (or Content Designer) to join our versatile, collaborative, and impactful team. This role will partner closely with designers and PMs across multiple squads to solve customer problems, elevate the komoot personality and voice across the UI, and ensure intuitive user experiences across our 11 languages. 

In particular, this position will support squads focused on user acquisition and monetization in the app and other messaging channels (transactional emails, notifications, etc). Our ideal candidate has a sharp eye for helpful, intuitive user experiences and can balance this with impactful, customer value-driven creative writing. If you’re excited about words, usability, and helping people get outside and enjoy nature, we’d love to hear from you. 

This role requires a healthy dose of customer obsession. Whether it’s running usability tests, using existing data to make decisions, or writing clear AB test plans, our ideal candidate demonstrates strong data-backed rationale for their writing, from single-word microcopy to high-level communication plans. You’ll work in quick iterations, with a goal to solve problems and bring value to our users quickly, measuring successes and failures as you go. 

What you will do  

  • Write in the komoot style and personality to create content flows and UI copy that are accessible, intuitive, and upbeat. 
  • Collaborate with designers to shape UI design as needed to improve usability and translation.
  • Map user journeys to better understand flows and customer experience. Incorporate UX best practices, heuristics, and conventions into your writing. 
  • Connect your work to the customer or business problem being solved and the impact it creates. Back up your decisions with data and strong rationale. 
  • Work with cross-functional peers to better understand our customers, the language they use, and how our products meet their needs. Integrate your learnings into writing guidelines and patterns.
  • Facilitate translation by providing context to our localization team, tracking translation progress, formatting keys and strings in our translation software, etc.
  • Develop an informed POV on both user and business needs in order to deliver the best solution and contribute to squad roadmaps.
  • Collaborate with other UX and marketing writers to create and refine style guides, design system patterns, and other content guidelines. 
  • Integrate with our Copy and UX teams; proofreading and giving feedback to your fellow writers, collaborating on projects, and helping us level up UX writing at komoot.

You’ll be successful in this role if you

  • Have minimum 4 years experience as a UX Writer or Content Designer for global software products.
  • Write impeccable English copy with an eye for usability, brand voice, and translatability across multiple channels and platforms. You’re able to turn even the most technical content into something warm, human, and helpful.
  • Are a strong communicator and can clearly explain your thinking, process, and rationale. You’re comfortable giving and receiving feedback, and work with diverse teams to get buy-in on ideas.
  • Are comfortable working with design tools and frameworks like Figma, user flows, journey mapping, usability heuristics, etc. 
  • Have experience writing for translation, preparing context for linguists, string management, and getting words into software across languages.

    • Create and submit rooming lists, set up billing, assign VIP status’ and concessions, and confirm the individual hotels accurately deliver

    • Monitor daily pick-up, changes, no-shows, and potential walk situations during the event phase from either onsite at the event or at home
    • Reconcile final sleeping room bill and set up payment, facilitate room audits and arrange commission payments
    • Facilitate and track all changes with accuracy, and communicate with both internal and external clients 
    • Provide accurate and prompt customer support to attendees during the pre-event and event phases
    • Assist with addendums and lead attrition conversations and service deficiencies with hotels directly
    • Set up and attend site visits and hotel pre-cons as needed, and assist teams with additional hotel needs such as satellite registration, branded keycards, and offsite event availability
    • Assist with additional on-site event responsibilities as needed to support the entire team
    • Assist with sourcing future events including reviewing venue proposals and forecasting pick up and commission

    About the Team:

    The Partnership and Alliances team recruits and manages our relationships with Technology, Agency, Reseller, and Integration partners for Invoca.

    About the Role:

    The Account Executive position will hold quota for the reseller business, including direct-to-agency and all reseller agreements. This position will report directly to the VP of Global Partnerships and Alliances.

    You Will:

    • Work with our reseller partners to drive adoption of the Invoca product and expand our relationship. Within these partner accounts, you will prospect, identify, develop, negotiate, and ultimately drive new revenue by uncovering opportunities and working jointly with the partner to close opportunities. 
    • Effectively organize internal and external teams to work together to drive deals through complex sales cycles - understanding the nuance of the indirect sale and working to motivate other organizations to sell Invoca solutions
    • Develop a pipeline within your targeted accounts to meet or exceed targets
    • Work with our Account Management team, Customer Success team, and other internal stakeholders to drive the adoption of the Invoca solution for your accounts
    • Thoroughly understand customers’ needs, our partners’ motivations, and effectively communicate Invoca value proposition to both partners and customers
    • Build and execute sales strategies, presentations, and software demonstrations for your accounts
    • Ensure that the CRM system is at all times updated with the most recent accurate forecasts, latest activities, and next steps
    • Understand the business landscape and be able to articulate differentiators in our segment
    • Present effectively to partners and potential customers across all levels, from Marketing staff to C-suite executives

    You Have:

    • 5+ years of on-quota, B2B SaaS experience selling marketing tech and ad tech
    • Prior reseller or indirect sales experience 
    • Confident, experienced user of modern SaaS sales tech stack, including Salesforce, LinkedIn, Slack, Salesloft, and various remote teamwork tools
    • Skilled at negotiating business terms with senior management and C-suite executives, including MSSA, Order Forms, SOWs, and other deal documentation
    • Stellar written and verbal communication skills, particularly the ability to write clear, persuasive proposals, emails, and presentations
    • Bachelor’s degree, Marketing or Business preferred
    • Experience in a dynamic, high-accountability start-up environment
    • Nationwide travel is required and encouraged

    What you’ll do:

    • Serve as the greeter to members, checking them in, seamlessly handing them off to our team, and noting opportunities to improve our experience
    • Cross-check appointments on multiple platforms and troubleshoot member issues.
    • Utilize our existing practice management systems to support clinical operations and provide world-class customer service
    • Serve as the hub for inquiries at the Parsley Health Center and assist members with labs, insurance, supplement purchases.
    • Manage sales management systems for EMR and Pantry sales to garner insights to improve retail offerings and member experience
    • Maintain cleanliness and organization of the Center, and maintain inventory
    • Serve as the point person for administering open or close procedures
    • Complete  analytical tasks in collaboration with Clinical Operations, Membership Experience, and Business Operations (i.e mail sorting, fax triage, and medical records)
    • Communicate with the broader  team around opportunities to improve office operations
    • Following health and safety guidelines in Pantry and keeping a clean and sanitary work environment
    • Keeping track of F&B analytics for future purchases
    • Assist Center Manager in reordering Pantry and Center supplies
    • Prep and serve beverages for members and guests and sale of prepackaged snacks
    • Work daytime hours, to be determined

    What you’ll need:

    • To be located in New York
    • 2+ years experience of in-person (i.e. non-remote) hospitality, office management, concierge, customer service, or events production
    • Deep-seated organizational skills and an innate desire for cleanliness and order; everything has a neat place in your ideal world, and you enjoy ensuring everyone around you has what they need to succeed
