Job Description

Role and responsibilities 

  • Project management – carry out project management related tasks such as project planning, risk management, issue management, coordination, manage deliverables and report to hierarchy on the progress made.  
  • Stakeholder management – identify and manage different stakeholders either internal or external to Commission when managing the different initiatives carried out by the OSPO  
  • Presentation and reporting – capacity to produce presentations, reports and speak in public if needed  
  • Service management – implement/define services around some of the initiatives currently being run by 2 the OSPO (code.europa.eu, Open Source Labs, etc.) with the objective of including them in the DIGIT Service Catalogue, and potentially taking ownership of some of them.  
  • Process improvement - identify, propose and implement improvement plans for the OSPO in terms of business processes and support  
  • KPIs definition – assist in defining and implementing indicators to measure the progress done by the OSPO across the different areas the team is responsible for  
  • Requirements definition - capability to formulate in a clear and comprehensive manner functional and non-functional requirements. Occasionally, the Expert Product Owner might also be involved in the following tasks:  
  • Community management – handle and manage requests from the different communities  
  • Support – provide business/technical support on open-source related matters when appropriate (e.g. business customers, collaboration with other teams, etc), for example on code.europa.eu and/or open source labs  
  • Advise - Advising internal projects on the aspects of open source, including helping them on becoming open source. 

Qualifications

  • Experience managing large project/services, coupled with experience with large stakeholders’ community groups at EU scale  
  • Experience with open source is considered a must 
  • Demonstrated experience with project management tool: JIRA and Ms Project  
  • Demonstrated experience in project managing project core teams of at least 10 FTEs 
  • Certified in Project Management Methodologies: PM2 or PMP or Prince2 or similar  
  • Certified in Agile methodology: Agile@EC or Scrum or Kanban or similar

The Technical Solutions Team (TS) team is tasked with proactively identifying operational opportunities to increase service quality and efficiency for clients using Visa’s dispute platform (Visa Resolve Online – VROL). As a TS Senior Consultant, you will be responsible for identifying innovative solutions, providing integration and post-launch support to Acquirers, Issuers, Third Parties, and internal Visa partners. You will be expected to handle escalated support requests, and work with other teams inside and outside of Visa’s Client Services (CS) organization. The Leased Employee, Strategic Partnerships will coordinate and manage fundraising activities and projects for our Development's Strategic Partnerships team. This will require strong project management experience, problem-solving skills, precise attention-to-detail, a customer service mindset, and the ability to handle confidential donor information. The Leased Employee, Strategic Partnerships will be responsible for collaborating with TR’s Development team in meeting its annual fundraising goals via project management and administrative support.

Every day will be a challenge, but every month brings new opportunities for an organization that is quickly becoming a household name in disaster response. This position reports to TR’s Deputy Director, Strategic Partnerships (SP) and can be based remote within the United States. 

This is a temporary assignment lasting 3-6 months. The role will be managed through a third-party staffing agency partnered with Team Rubicon.

Project: TR Development Strategic Partnerships Support

Duration: November/December 2024 - February 2025

ExpectedHours Per Week: 40

Duties:  

  • Build and maintain effective relationships with cross-functional teams, corporate partners, donors, and volunteer leadership by gathering, communicating, and appropriately disseminating critical information.
  • Act as the project manager for Strategic Partnerships, ensuring all partnership renewal timelines and contract deliverables are met by utilizing Jira and working alongside the Brand & Communications team; assisting with project needs to meet objectives.
  • Partner with the Senior Associate, Project Management to ensure all projects are delivered on time and to track the status of competing Development priorities.
  • Manage the contract lifecycle for TR’s Strategic Partners, to include creative brief submissions and lead the development of detailed project plans to monitor and track progress.
  • Gather all relevant information (project plans, metrics, outcomes) pertaining to partner accounts to aid in preparation of corporate donor reports and assist in writing corporate donor reports focused on gift impact and the execution of contractual obligations; communicate timelines, deadlines, project needs, etc. to account owners.
  • Provide support in tracking pertinent donor and donation information in the donor database, including entering, updating, maintaining records and opportunities in Salesforce/Mission CRM to drive fundraising and stewardship strategies.
  • Tracking invoice timelines per contractual agreements and creating important documentation to include invoices, donor commitment forms, and banking information.
  • Coordinating, joining, and taking notes on internal and external calls and distributing notes to appropriate stakeholders, ensuring that follow-ups and action items are completed

Experience and Background:  

  • Bachelor’s degree or equivalent experience
  • 1-4 years of experience in fundraising/nonprofit management or equivalent experience
  • Proficient in Jira (or similar project management tool) and Microsoft Office Suite
  • Experience in database management or data entry and adept at handling confidential donor information
  • Demonstrated ability to multi-task and innovate effectively in a fast-paced, unstructured environment and produce results while being able to adjust to constantly changing circumstances, deadlines, and parameters with a positive and ambitious attitude
  • Efficient and detail-oriented, with strong communication skills – both verbal and written; strong social skills required

Special Requirements:   

  • This is a contingent; remote position and can be based anywhere within the United States and provides a flexible & non-traditional work schedule (relocation expenses not provided)

  • Work as a strategic consultant and partner to the marketing team to define business challenges/gaps and scope projects to address these.
  • Work to future-proof our marketing function by improving working methods, creating efficiency/scale, and challenging the status quo. 

Process Rollout, Improvement, & Maintenance:

  • Oversee the operational aspects of campaign planning, execution, and measurement. Roll up your sleeves to keep day-to-day tasks and deliverables on track.
  • Design and deploy processes that allow the broader Marketing and GTM team to be self-sufficient in creating/managing repeatable and scalable marketing campaigns.
  • Collaborate with Marketing, Partnerships, and Sales teams on the development of Intent and Targeting strategies powered by 6sense.
  • Develop and document Marketing and RevOps processes and best practices, supporting internal stakeholders with ongoing training and enablement.

Tools & Systems Management:

  • Administer tools and systems changes to facilitate process automation and improvements that enhance GTM efficiency.
  • Architect and configure Marketo and other tools to support effective campaign execution/tracking and lead scoring/routing processes to drive pipeline growth.
  • Create documentation and enablement collateral on key marketing tools and systems.
  • Support vendor management, including renewals/upgrades/downgrades and keeping up-to-date on the latest marketing tools that can be incorporated into existing GTM processes and customer journeys.

Data Management, Reporting, & Analytics

  • Maintain a healthy database by running data hygiene initiatives, automation audits, lead and asset management, etc.
  • Minimize “bad data” leads entering Marketo and Salesforce through maintenance of filters and controls (e.g. email checks, data scrubs).
  • Perform ad hoc system analysis and troubleshooting to ensure each platform is operating properly and no errors are taking place behind the scenes.
  • Handle ad hoc inbound requests and tickets to support the marketing team's GTM strategies.

Required Qualifications 

  • Bachelor’s degree in Business, Marketing, or a related field. 
  • 5+ years of experience in Marketing Operations, with 3 years experience administering marketing tools and systems.
  • Advanced knowledge of a modern marketing tech stack, including marketing automation (Marketo certification strongly preferred) and Salesforce.
    • Experience with Bizible, 6sense, LeanData, etc. is strongly preferred.
  • Highly organized project manager who can balance multiple priorities and deadlines, both independently and as part of a team. 
    • Experience with Project Management tools like Jira or Monday.com is a plus.
  • Experience supporting a global marketing team with EMEA and LATAM partners

About The Role

As the executive assistant, your responsibilities will include:

Administrative and Operational Support
