Job Description
Context :
Biospringer is seeking an experienced Department Assistant to join their dynamic team for a short-term contract of 6 months.
The Department Assistant will be responsible for providing administrative and logistical support to Biospringer Global support functions (Finance, HR, Industrial, Supply Chain, Marketing) and to the Cosmetics department.
The successful candidate should be flexible, organized, and adaptable with excellent communication and analytical skills.
He/she will report to the Executive Assistant of Biospringer Global
Missions:
- Act as the point of contact for incoming service-related inquiries, coordinating with the relevant team member, and ensuring prompt resolution.
- Generate and distribute reports, presentations, and documents as required.
- Coordinate internal and external meetings and events, including logistics, catering, audio-visual support, and documentation.
- Manage incoming and outgoing mail, packages, and shipments, as well as office materials and supplies.
- Plan and coordinate group travel arrangements, including flight bookings, hotel reservations, car rentals, and visa applications.
- Maintain and update departmental records and databases, ensuring accuracy and confidentiality.
- Provide additional support to other administrative functions, as needed.
Qualifications
- Diploma or degree in Business Administration, management, or relevant field.
- Minimum of 5 years of experience working in a service or administrative role.
- Excellent organizational and time-management skills, with the ability to prioritize and multi-task.
- Highly proficient in MS Office Suite, especially Excel and PowerPoint.
- SAP experience preferred.
- Strong written and oral communication skills in English, with additional language skills an asset.
- Ability to work collaboratively as a member of diverse and sometimes remote teams.
- Strong analytical skills, with the ability to analyze and interpret data and identify trends.
- Knowledge of international travel arrangements and visa applications.
- Ability to work independently and proactively to resolve issues.
