What you will do:
- You will be the gatekeeper for schedules, with strict diary management, create win-win situations for every meeting and operate across multiple time zones with flexibility.
- Keep your manager well informed of his/her commitments and responsibilities. You will act as a “barometer” for the issues taking place in the environment.
- Properly document decisions, actions items and circulate them to relevant attendees.
- Spend some of your time organizing - Travel logistics for Events, Offsites, Supplier set up, Invoicing, Organizational support and more.
- Booking all travel and process expenses for your execs in a timely manner.
- Ensure that all org chart for the functions you support are regularly updated.
- Organize the full onboarding and offboarding of those reporting into your exec.
- Support in maintaining a “Rhythm of Business” within the Customer Success Org for the year and measure/report progress.
- Ensure cadence meetings include among others, Finance reviews, HR reviews, Marketing alignment and Quarterly Business reviews.
- Assist (alongside Business Operations) in creating material for All Hands calls and newsletters / internal comms.
- Understand how the forecast and revenue are calculated for the Customer Success organization and help to drive the business to the objectives set.
- Substitute for ERP requests and follow up on awaiting approvals and action where appropriate.
- Ongoing Training and Enablement Needs - Responsible for coordination and facilitation (along with Education4U Team) of general enablement/training needs across your supporting functions.
- Network with internal and external teams. Have a natural ability to communicate with other and be personable.
- Create/enhance team culture.
Qualifications
- 2-4 years of Executive Assistant experience or comparable professional experience
- Fluent in English
- High level of expertise in software such as Microsoft 365 suite, particularly PowerPoint.
- Great verbal and written skills
- Exceptional organizational and time management skills and an ability to multi-task
- Work well under pressure, A positive can-do attitude and work to a consistently high standard.
- Attention to detail: Follow procedures and ensure accuracy in all documentation and data.
- Integrity / confidentiality: Display discretion always, ensuring all sensitive data is kept completely confidential. Demonstrate sound judgment and raise any concerns that may arise.
- Teamwork: Display enthusiasm and promote a friendly group working environment, easily connect and talk with people on different levels.
- Self-motivated but also a team player who can work across cultures with multi-country teams.
- Resourcefulness: Ability to be a problem solver and a creative thinker.
